[Virtual] India, June 21, Experience Sharing Meet-up: Challenges in Hosting In-Person Meet-ups

:large_orange_diamond: About the Meet-up

Have you ever organised an in-person meet-up that went exactly as planned and left you fully satisfied?

Or has your experience been different…

Have you ever hosted a meet-up where no one showed up?
Or where a few Local Guides joined—but not at the right time? Some arrived early and left, others came late, and things didn’t go as planned?

Have you faced challenges such as low participation, coordination issues, or difficulty in executing your meet-up effectively?

Or perhaps you haven’t organised a meet-up yet—but have participated in one and felt it didn’t meet your expectations. What could have been the reasons—lack of planning, engagement, or communication?

Are you someone who wants to organise a meet-up but doesn’t know where or how to begin? :backhand_index_pointing_right: You may find this helpful: How to organize a successful meet-up

:backhand_index_pointing_right: If any of these situations sound familiar—or you’ve faced other challenges while hosting an in-person meet-up—this virtual meet-up by the Local Connectors Community is for you.
Let’s work together to reduce barriers and improve meet-up experiences for everyone.

This initiative is part of the unofficial, community-led Local Connectors group, formed in April 2026, with a vision to:

  • Strengthen community building efforts
  • Improve meet-up quality and recap culture
  • Work towards 100% recap completion
  • Ensure recognition of every participant
  • Increase engagement of new Local Guides

The Local Connectors group successfully hosted its last meet-up on 3rd May. Building on that momentum, this upcoming session focuses on how Local Guides can contribute to sustainable and inclusive communities through improved meet-up practices.

In-person meet-ups are not just gatherings—they are opportunities to promote community engagement, accessibility, and sustainability, aligning with global development goals. This meet-up will focus on sharing practical experiences, identifying common barriers, and collaboratively exploring solutions to make meet-ups more inclusive, impactful, and sustainable.

:spiral_calendar: Proposed Agenda

1. Welcome & Introduction (10 mins)

  • Overview of the Local Connectors Community
  • Recap of the 3rd May meet-up

2. Experience Sharing Session (40 mins)

3. Key Takeaways & Way Forward (10 mins)

:bell: Note:

This meet-up is exclusively dedicated to discussing challenges associated with in-person meet-ups.

In the coming months, separate meet-ups will be organized to cover virtual and hybrid formats, along with discussions on meet-up recaps and best practices.

Dear Local Guides holding the “New Connector” and “Budding Connector” badges,

(These badges are awarded after hosting your 1st and 5th meetups respectively )

If you are unable to attend the meetup due to timezone differences or inconvenient hours, You are kindly requested to share the challenges you face while hosting in-person meetups in this thread.

Your valuable inputs will help the community understand real issues and improve future meetups. :folded_hands:

Thanks for hosting this meetup @SharmaK :+1:
Since we have seen a rise in new connector badges in recent months, wherein Maps Master had a significant role, this meetup is important to address issues as we move forward with larger goals.
