[RECAP] ROCK & LEARN @ CHENNAI LG MEET

The Day finally arrived and in an unbelievable way. Yes I am talking about the LOCAL GUIDES CHENNAI MEET UP EVENT planned on December 8th 2019 at Chennai, India.

Imagine my surprise when a mail dated 23rd October 2019 came from Google office itself advising me that I have been selected from the Local guides to host a Google Sponsored LG Meet up in Chennai. The fact that Google has kept their confidence on me and selected me for this first of a kind meet up in Chennai has made me to resolve to put my entire effort to conduct this event in a great manner.

I have discussed with Chennai Active local guides to form committee for this event, accordingly decided following LGs

Team Members : Selvamani, TravellerG, Saravanakanth, John Peter, Aravind, Mohan Vee, Palaniappan, Lambard, Anand, Sridhar

PLACE FINALISATION

Originally my plan was to conduct a meet up of South India Local Guide community. The Venue for this meet up was selected by me is Kishkinta Theme Park at Chennai. I decided to conduct this supported meet up in the same venue.

PRELIMINARY PREPARATION:

1.Venue Inspection:

The Kishkinta Theme Park is jointly inspected by me with LG. @Selvamani_R on 21st November2019. We have seen in and around the venue, auditorium and the water & Games area. Surprisingly, my original plan of meet up at this venue is most suitable and convenient to conduct the meet up as well as for fun filled enjoyment of LGs. We have concluded this is the most suitable place for the first Supported meet up of south India in Chennai.

The Management of Kishkinta Park has elaborately discussed with us the facilities available in the Air conditioned Auditorium including LED Mega display screen with Surround Sound Effect ,with 200+ seating capacity. We fully satisfied ourselves with available facilities in the auditorium.

2.Preparation for the meet up

The meet up post is proposed by me on 13.11.2019 and approved by Google on 19.11.2019.Hence immediately on approval of the meet up, I have planned the following agenda and executed one by one

as narrated below:

• I have followed up with RSVP list from the published day .
• For communication purposes I have created a Whatsapp Many LGs who could not get RSVP approached via whatsapp group for attending this meet up. I created a wait list form for these LGs. When any cancellation received from the RSVP I called the wait list LGs by seniority basis to attend (RSVP).
• I have ordered T-shirts’ for all the attendees. I identified the Vendor through Google Maps.

• I have decided to give Tags for all attendees and I made 3 types, one for Team members, one for attendees and one for Volunteers.

• I designed ‘Certificate of Participation’, to be given to all attendees, which was conceived by our ‘@TravellerG.

• I have created a registration entry to Kiskinta and exit through forms accessed by QR Codes. The purpose is to get the entry and exit timestamp for future use and for submission to Google.

• For LG introduction I have prepared a printed Chennai Google Map in Bill Board. The purpose is all LGs is to introduce themselves and marked their place on the map.
• Given a Post card with stamp to all participants. The purpose is to post this card for their friends who don’t know the LG programs to create awareness (advertisement from word of mouth)

• I have printed Banners, backdrops, stickers, agenda, stationeries and PPT presentations.

EVENTS ON THE DAY OF MEET

SESSION I

• Assembling of LGs in Kishkinta Reception

We the Registration committee have reached the venue by 8.30 am and surprised to see many Participants already waiting before time.

• Registration Process / whatsapp group exchange of messages

Actually I announced in whatsapp group the Registration time will be 9Am to 10AM. Before that we started the registration at 8.57 AM and continued till 10.20 am for RSVP participants. After that I allotted to waiting list Participants up to 10.56 Am and finished Registration. Total participants 105.

• Welcome drinks

For all Registration completed Participants we a distributed KIT and allowed them to relax with welcome drink, arranged near to the registration counter under a temporary shelter.

• Group photos at Entrance

After full completion of Registration we assembled all Participants in Group Photo session.

• Moving to Designated hall and commencement of events

All participants gathered at the Auditorium at 11.15 AM. We started as per our agenda

• Introduction of Host By MC. @Saravanakanth

LG Saravana kanth started with a silent prayer and introduced the Host

• Host Welcome address delivered by me

I welcomed all participants and encouraged and explained the LG programs

• Training session on Map edit and Add Road with PPT By me

• Live streaming in Instagram by Aashish Anand .

• One to One gathering Game for the participants and prize giving.

The One to One game is introducing to others. Within a period of 3 minutes who mingled with more LGs and able to name them were given prizes.

• Fun session for all LGs to enjoy all water games and Rides

• Assembling at reception and exiting procedure through QR codes.

At this juncture I request Google kindly to propose many such meet ups at major cities in Tamil Nadu for witch myself is ready to accompany to host meet ups for enlightenment the LG community

What a great Meetup. More than 100 participants joined for this mega event. Best part The the Meetup was the location and food. We enjoyed to the great extend and networked with most of the LGs. Kudos to @RtnArulPrakasamT for the excellent preparation and made the event very memorable.

It’s great to attend Google supported LG Meetup Rock and learn conducted at kishkinta Theme park - chennai . Thanks to Google LG Connect team, and our host @RtnArulPrakasamT and our senior LG’s, Volunteers to made this event more successful. This platform helps many new LG actively participate,host upcoming meetups and community will grow higher and learn, contribute, photography on connect post as well as maps. Highlights: 1. 100 LG participated 2.Well planned location 3. First half knowledge sharing related to Google maps by senior LG’s followed by Question and Answer session 4.Refresment and Lunch 5.second half full of Games at theme park . All LG’s are actively participated all sessions and enjoyed whole day. Hope it will be great if we have More Google supported meetup like this.
